Employees, roles, and access
Use Admin → Employees to invite your team and manage access. Give each person the lowest-level role that still allows them to do their job.
Prerequisites
- You know the mobile number linked to the employee’s Vipps account.
- You have decided which responsibilities and role the person should have.

Invite an employee
- Open Employees.
- Select Invite employee.
- Enter the mobile number linked to the employee’s Vipps account. This is required.
- Optionally add an email address. Email is not required.
- Select Administrator or Employee.
- Send the invitation and ask the employee to accept it with the user account that has the same mobile number.
The invitation does not grant access until it is accepted. If it expires, send a new one from the employee page.
Choose a role
Choose the lowest-level role that covers the person’s responsibilities:
- Administrator – full access to the business settings and team administration. Use this role only when the person genuinely needs to administer the business.
- Employee – access to daily operations within the features and permissions available to employees.
Owner is a separate status and cannot be selected in the invitation dialog. Manager is not a role name in this dialog.
Always test access in practice after changing a role.
Schedule and working days
For booking-based businesses, the employee’s work schedule should match Booking → Schedule. If customers cannot select an employee, check:
- that the employee profile is active
- that working days and hours have been saved
- that the service is assigned to the employee
- that capacity is available
Employee code at the point of sale
Some point-of-sale setups may require an employee code/passcode. Use unique codes, do not share them between people, and change a code when an employee leaves.
Change or remove access
- Find the person in the list.
- Open the actions menu.
- Change the role if their responsibilities have changed.
- Remove access when the person should no longer use the business.
- Check any active devices, codes, and integrations the person could access.
Do not use deletion as the first step if you only want to change responsibilities. Changing the role preserves a clearer history.
Privacy
The employee page may contain email addresses, phone numbers, and work schedules. Do not share the list in public screenshots, and only give access to people who need this information.
